Member Cancellation Policy.


🌱 This page outlines the cancellation policies for Balens Therapy Collective. Please read the section that applies to your booking.

  • Section 1: Balens Therapy Collective Members — Room Rentals: Covers bookings for The Greenhouse and The Third Place, as well as membership cancellations.

  • Section 2: Workshop and Event Registrations: Covers all publicly listed workshops and events hosted at BTC, including Still, I Bloom.

All cancellations and rescheduling requests are submitted through the Cancellation Request Form (available in the Member's Hub). This keeps everything organised and ensures your submission date is honoured as your official notice date.

Section 1: Balens Therapy Collective Members — Room Rentals

Definitions

To keep things clear, here is how we distinguish between a reschedule and a cancellation:

  • Reschedule: A change of date or time for the same booking, submitted in advance. Each booking may be rescheduled once. A second reschedule request for the same booking is treated as a cancellation.

  • Cancellation: The termination of a confirmed booking, with no intention to rebook the same session. Cancellation fees apply based on the notice provided.

The Greenhouse — Hourly Bookings

  • 72+ hours' notice: Refund issued, minus a 5% administration fee.

  • Under 72 hours' notice: The full booking fee applies. No refund will be issued.

  • No-shows: Treated as a cancellation with under 72 hours' notice. The full fee applies.

  • Reschedules follow the same notice windows. A second reschedule on the same booking is processed as a cancellation.

The Third Place — Group Space Bookings

  • 72+ hours' notice: Refund issued, minus a 5% administration fee.

  • Under 72 hours' notice: The full booking fee applies. No refund will be issued.

  • No-shows: Treated as a cancellation with under 72 hours' notice. The full fee applies.

  • Reschedules follow the same notice windows. A second reschedule on the same booking is processed as a cancellation.

Membership Cancellation

  • Membership billing cycles are individual. Your cycle begins on your "start date", and all dates below are calculated relative to your personal renewal date.

  • 14+ days' notice before your renewal date: Membership ends at the close of your current billing cycle. No further charges apply.

  • Less than 14 days' notice before your renewal date: Membership ends at the close of the following billing cycle. One additional billing cycle will be charged.

  • Unused hours or time remaining in a block are non-refundable and do not carry over upon cancellation.

  • Membership blocks run on a fixed 4-week billing cycle and cannot be rescheduled or deferred. If you need to make changes to your membership, please submit a cancellation request and re-enroll when you're ready.

  • Membership fees are non-refundable once a billing cycle has commenced.

Exceptional Circumstances

We understand that life does not always follow a schedule. Genuine emergencies are reviewed on a case-by-case basis at the discretion of the Collective team. If you are facing an unexpected situation, please reach out directly before submitting a cancellation form, and we will do our best to find a fair resolution.

Please note: discretionary exceptions do not set a precedent and are not guaranteed.

Section 2: Workshop and Event Registrations

No Refund Policy

All workshop and event registrations are final. We do not offer refunds, transfers, or credits for any reason, including illness, scheduling conflicts, or change of mind. Please ensure you are able to attend before completing your registration.

By completing your booking and payment, you acknowledge and agree to this no refund policy.

No-Shows

No-shows are not eligible for a refund, credit, or transfer under any circumstances.

Event Cancellation by Balens Therapy Collective

In the rare event that a workshop or event is cancelled by BTC due to low enrolment, facilitator illness, or other unforeseen circumstances, all registered participants will receive a full refund. BTC is not responsible for any additional costs incurred, such as travel or accommodation

If a workshop is postponed rather than cancelled, registered participants will be offered the option to transfer their registration to the new date or receive a full refund

Policy Updates

If this policy changes, all active members will receive a minimum of 28 days' written notice before the updated terms take effect. Changes will apply from the start of your next billing or membership cycle following the notice period
