Welcome to Balens Therapy Collective. By booking any space, service, or membership through our platform, you agree to these Terms & Conditions.

Please read carefully before continuing.

    • All users must complete the intake form and complete agreements before their first booking.

    • Only licensed or supervised mental health professionals may use either room.

      • The Greenhouse for 1:1 / couples / family therapy.

      • The Third Place may be used only for group services or professional gatherings consistent with therapeutic work.

    • Users must use spaces responsibly, respecting safety, privacy, and professional standards.

    • Balens Therapy Collective reserves the right to refuse access to anyone not meeting eligibility requirements.

  • The Greenhouse (1:1 Therapy Room)

    • Available for individual, couple or small family sessions.

    • Rooted and Flexible members may book hourly.

    • Rooted members may secure recurring weekly blocks.

    The Third Place (Group Therapy Room)

    • Minimum 2-hour booking required.

    • Additional hours: $50/hr, request via admin@balenstherapy.com.

    • Only one room may be booked at a time; overlapping reservations are not allowed.

  • Membership is mandatory to use the space or to join the Collective Directory

    All memberships renew at a 4-week cycle beginning on the start date set at purchase.

    Flexible Membership

    • $50/month, includes 1 free hour per 4-week cycle.

    • Additional Greenhouse hours: $30/hr.

    • Booking window: up to 4 weeks ahead.

    Rooted Memberships

    Four levels:

    • Sprout: $320/month

    • Bloom: $600/month

    • Thrive: $840/month

    • Evergreen: $1000/month

    All Rooted memberships include:

    • $20/hr Greenhouse rate

    • Access to recurring weekly 4-hour blocks (Golden Hour, Sunbeam, Twilight)

    • Ability to book up to 3 months in advance

    • Recurring blocks renew automatically every 4 weeks unless modified or cancelled

    • Future bookings are automatically cancelled if membership payments fail

    • Recurring blocks renew every 4 weeks.

    • Expired or non-renewed memberships will result in automatic cancellation of all future bookings.

  • All cancellations, rescheduling and changes go through the cancellation request page in the Member Hub (aka the HQ) to keep things tidy.

    Membership Cancellation

    • Membership cancellations kick in at the end of your 4-week billing cycle.

    • Any unused hours or time in a block sadly can not be rolled over or refunded.

    Booking Cancellations

    The Greenhouse (Hourly Bookings)

    • Cancel or reschedule 24+ hours before your start time, and you’ll get a refund minus a 5% admin fee.

    • Cancel or reschedule under 24 hours before? The full fee applies.

    • Membership fees are non-refundable.

    The Third Space (Group Space Bookings)

    • Cancel or reschedule 24+ hours ahead: 5% admin fee.

    • Cancel or reschedule within 24 hours: full fee. (We love consistency)

    Pause / Vacation Option

    Rooted Members can request to release recurring slots or press “pause” on their membership. Think of it like getting a plant sitter while on vacation. Handled case-by-case, but totally doable. The number of slots and length of the pause will be factored into applicable fees, and your recurring time slot will be waiting for you when you return.

    Policy Updates

    If anything changes, you’ll get at least 28 days’ notice before the new policy universally kicks in. Your next billing or membership cycle will always reflect the updated version.

    • Memberships billed on a recurring 4-week basis in Canadian dollars.

    • Payments must be completed before bookings can be made.

    • Failed payments automatically cancel future reservations.

    • Follow all safety instructions in the Members Hub.

    • Do not tamper with security devices, locks, or equipment.

    • Keep access codes confidential.

    • Leave the space clean, orderly, and in original layout.

    • Damage, misuse, or breaches may result in:

      • Fines

      • Loss of booking privileges

      • Membership termination

    • Users are responsible for protecting client privacy while using the space.

    • No interior recording or video surveillance without participant consent.

    • Balens Therapy Collective is not responsible for user breach of confidentiality.

  • By booking, you agree that Balens Therapy Collective is not liable for:

    • Loss or damage of personal property

    • Misuse of space by other members

    • Clinical or professional decisions made by users

    You agree to comply with your professional and regulatory obligations when using the space.

    • Bookings and memberships are managed through SimplyBook.me.

    • SimplyBook.me acts as a service provider, processing your data in line with their Privacy Policy and our Data Processing Agreement.

    • By using this platform, you consent to data processing required to operate the Collective.

    • All content, images, logos, and materials associated with the Collective are protected by copyright.

    • Users may not reproduce, distribute, or use content for commercial purposes without prior written permission.

    • This does not apply to shared resources identified as intended for member distribution and commercial purposes

    • These Terms are governed by the laws of Ontario, Canada.

    • Any dispute arising from bookings, memberships, or use of the space will first attempt to be resolved through direct negotiation.

    • If unresolved, disputes will be subject to Ontario courts.

  • By booking, you acknowledge:

    • You have read and understand these Terms & Conditions.

    • You agree to abide by all policies, restrictions, and safety rules.
